Â
2. Quotes and Bookings
2.1Â Â All quotes are provided based on the Client's event date, venue location, number of Effects and Cues requested. Final pricing is confirmed in writing prior to booking.
2.2Â Â All quotes are valid for 14 days from the date of issue unless otherwise stated.
2.3Â Â A booking is confirmed only upon receipt of written confirmation from the Business and payment of the required deposit.
2.4Â Â The Business may refuse or cancel a booking if venue, safety, insurance or payment requirements are not met.
2.5Â Â Quotes are based solely on the information provided by the Client at the time of enquiry. Any inaccuracies in information provided may result in revised pricing or cancellation.
2.6  Any changes to the scope of services, including the addition of Effects, Cues or equipment after a quote has been accepted, will be treated as a scope change and are subject to a revised quote and additional charges. Verbal agreements regarding scope changes are not binding — all changes must be confirmed in writing by the Business.
Â
3. Effect and Cue Scope
3.1Â Â Packages and quotes are priced based on the number of Effects and Cues agreed at the time of booking, as well as the event date and venue location. Pricing does not reflect a fixed block of time.
3.2Â Â Each Cue listed on the quote represents a single, discrete delivery of that Effect (e.g. one fog effect for the first dance). Additional Cues not specified on the original quote are not included and will incur additional charges.
3.3Â Â Consumables are allocated per Cue based on the scope agreed at the time of booking. Additional Cues require additional Consumables, which are charged separately regardless of whether the operator is still on-site at the time of the request.
3.4Â Â The Client is responsible for ensuring all required Effects and Cues are communicated to the Business prior to accepting the quote. Requests for additional Cues made after the quote is accepted will be accommodated where operationally possible and quoted at the Business's standard rates.
3.5Â Â The Business's operator will arrive, set up, deliver the agreed Effect(s) and pack down within a timeframe reasonable to the agreed scope. On-site duration is determined by the Effects and Cues agreed, not a fixed coverage window.
Â
4. Pricing and Consumables
4.1Â Â All prices are quoted in Australian Dollars (AUD). Aurea Events Co. is not registered for GST; no GST is applicable to any quoted amount.
4.2Â Â Consumable costs (including dry ice, spark powder and similar materials) are calculated based on the Effects and Cues specified at the time of booking. Consumables are not transferable between events and unused quantities are not refunded.
4.3Â Â Additional charges may apply for excessive delays, difficult venue access, stairs, waiting time, unusual setup conditions or any other circumstances that require additional time, labour or materials beyond what was reasonably anticipated at the time of quoting.
4.4Â Â Travel charges apply based on the delivery zone outlined in the quote. Distance is calculated from the Business's base location. Travel beyond 60 km of Melbourne CBD is charged at $50.
Â
5. Deposits and Payments
5.1Â Â A non-refundable deposit of $100 is required to secure a booking.
5.2Â Â The remaining balance is due on or before the event date.
5.3Â Â Accepted payment methods: bank transfer or cash.
5.4Â Â Late payments may incur reasonable administration or recovery costs where permitted by law.
5.5Â Â The Business reserves the right to withhold services if full payment has not been received by the event date.
Â
6. Cancellations and Rescheduling
6.1Â Â All cancellation and reschedule requests must be submitted in writing via email to team@aureaeventsco.com.au or SMS to +61 422 991 179.
6.2Â Â Cancellation terms are as follows:
-
More than 30 days before the event: full refund of deposit, or option to reschedule.
-
Within 30 days of the event: deposit is non-refundable. Reschedule option only, subject to availability.
6.3Â Â Rescheduling is subject to availability and cannot be guaranteed. The Business will make reasonable efforts to accommodate reschedule requests.
6.4Â Â If the Business is unable to fulfil the booking due to circumstances within its control, a full refund of all payments received will be provided.
Â
7. Client Responsibilities
The Client agrees to:
-
Provide accurate and complete event and venue details prior to booking confirmation.
-
Obtain all required venue permissions and approvals for the use of special effects not handled by the Business.

-
Notify the Business promptly of any changes to event timing, layout or requirements.
-
Follow all safety instructions provided by the Business operator on the day.
-
Ensure that the Venue is informed of all Effects to be used at the event.
Â
8. Venue Approval and Safety
8.1Â Â All Effects are subject to venue approval and safety assessment. The Business cannot guarantee that a venue will approve a specific Effect.
8.2Â Â The Business reserves the right to adjust equipment placement, reduce output, substitute Equipment or refuse operation if conditions are deemed unsuitable or unsafe.
8.3Â Â Equipment is operated exclusively by Business personnel unless otherwise agreed in writing.
8.4Â Â The Business may cease operation at any time if the environment is considered unsafe, without liability to the Client.
8.5Â Â Cold sparks, low-lying fog, dry ice effects and similar Effects are subject to venue rules, fire system restrictions, weather conditions (for outdoor events) and technical limitations. The Client acknowledges these constraints may affect delivery.
Â
9. Public Liability Insurance
9.1Â Â The Business holds public liability insurance with a minimum cover of $20,000,000 AUD per occurrence for its own activities and Equipment.
9.2Â Â A Certificate of Currency can be provided to the Venue upon request.
9.3Â Â This insurance covers the Business's own activities only and does not replace any insurance required of the Client or the Venue.
Â
10. Damage, Loss and Indemnity
10.1Â Â The Client is liable for any loss or damage to Equipment caused by the Client, guests, contractors or any other persons under the Client's control, except where caused directly by the Business.
10.2  The Client indemnifies the Business against any claims, losses or liabilities arising from: unsafe directions given by the Client, unauthorised interference with Equipment, inaccurate information provided at the time of booking, or failure to follow safety instructions — to the extent permitted by law.
Â
11. Limitation of Liability
11.1Â Â To the extent permitted by law, the Business is not liable for indirect or consequential loss, loss of profit, loss of opportunity or disappointment arising from any aspect of the Services.
11.2Â Â Nothing in these Terms excludes or limits rights or guarantees that cannot be excluded under the Australian Consumer Law.
Â
12. Weather and Force Majeure
12.1Â Â For outdoor events, the Business may suspend or cancel operation if weather conditions create a safety or Equipment risk.
12.2Â Â Neither party is liable for delay or non-performance caused by events beyond reasonable control, including severe weather, venue closure, power failure, emergency services attendance or government restrictions.
Â
13. Photography and Marketing
13.1Â Â The Client may consent or decline consent to the Business using photographs or video footage of the setup or Effects for portfolio, website and social media purposes.
13.2Â Â No sensitive personal information will be disclosed without explicit consent.
13.3Â Â Consent preferences should be communicated in writing prior to the event date.
Â
14. Disputes
14.1Â Â These Terms are governed by the laws of Victoria, Australia.
14.2Â Â In the event of a dispute, both parties agree to attempt resolution in good faith before escalating to formal legal proceedings.
Â
15. Acceptance of Terms
By paying the deposit or proceeding with a booking, the Client confirms that they have read, understood and agreed to these Terms and Conditions in full. These Terms are attached to all quotes and invoices issued by the Business. Proceeding with a booking constitutes acceptance regardless of whether the Client has signed a separate document.
